<br />sign checks written on all accounts for Tourism Funds. The signature of at least one official of each <br />organization is required on all checks over $250 in amount written on accounts for Tourism Funds. <br /> <br />Checks in the amount of $250 or less written on these accounts require only one official signature. <br />F. The Chamber shall give advance public notice of meetings of the Advisory Board, and <br />shall allow members of the public to attend these meetings. The Advisory Board is subject to State <br /> <br />laws and City ordinances which apply generally to City boards and commissions, including those <br />requiring disclosure of conflicts of interest and abstention from participation in decisions involving <br /> <br />conflicts of interest. The Chamber shall provide facilities and staffmg for meetings of the Advisory <br />Board, and shall keep minutes of meetings of the Board. The Chamber shall provide a copy of the <br /> <br />minutes of each Advisory Board meeting to the City. <br />G. Purchases made with Tourism Funds which exceed $1000 in amount shall be made from <br /> <br />the low responsible bidder, and at least three bids shall be obtained for each such purchase. <br />Purchases made with Tourism Funds shall not be restricted to Chamber members. Chamber Board <br /> <br />members shall disclose any private interests they have in matters coming before the Chamber Board <br />for decision when action on the matter may have a special economic effect on those interests, and <br /> <br />they shall abstain from the discussions and votes on those matters. <br /> <br />4. TERM; TERMINATION <br />A. The term of this Contract shall be from October 1,2003 through September 30,2004. <br /> <br />It is expressly agreed that either party may cancel this Contract by tendering written notice to the <br />other. Upon expiration of 30 days from the date of the written notice or any date specified after <br /> <br />thirty 30 days from the date of the notice, this Contract shall be terminated. <br />B. Any funds allocated to the Chamber by the City which are unencumbered or unexpended <br /> <br />on the effective date of the termination of this Contract shall be remitted to the City on or before the <br />expiration of thirty 30 days from the date of the termination; provided, that if the parties execute a <br /> <br />new contract to renew the Chamber's tourism promotion services and activities, the Chamber may <br />use the funds for its usual and customary expenses until the date of its fIrst allocation of funds under <br /> <br />the new contract, when it will remit the remaining funds under this Contract to the City. <br /> <br />5. ASSETS <br /> <br />The Chamber shall keep its equipment, supplies, vehicles and other assets separate from <br /> <br />3 <br />
