1.0.7 Sam Nassour and George Schlemeyer are the Consultant's Project Representatives <br />assigned to the Project. The Consultant will not substitute another representative for the Project <br />unless approved in writing by the City in advance of such proposed substitution. In the event the <br />City and the Consultant cannot agree to the substitution of a Project Representative, the City may <br />terminate this agreement in accordance with Article 7. <br />1.1 TASK 1 - PROJECT ADMINISTRATION <br />The Consultant will: <br />1.1.1 Communication <br />a) Provide monthly summaries of Project expenses including amounts authorized by the <br />City, amounts paid by the City and budget forecasting; <br />b) Maintain current status reports including contact reports of all Project activities and <br />provide monthly status reports to the City; <br />c) Provide schedule(s) of all areas of work indicating anticipated start and end dates; and <br />d) From the preliminary title research, prepare initial a real property owner contact list <br />for use in distributing letters which will introduce the Consultant to real property <br />owners. The contact lists will include all parties having a legal interest in the subject <br />property. <br />1.1.2 File Management <br />a) Keep the Project and parcel files in the Consultant's office as well as provide files in <br />digital format on a CD to the City and upload documents to the City's File Transfer <br />Protocol ( "FTP ") site. <br />b) Bill the City utilizing the City's standard payment requisition forms with supporting <br />documentation; <br />c) Maintain records of all payments including check number, amounts paid, and date <br />paid, etc.; <br />d) Maintain copies of all correspondence and records of contacts with real property <br />owners; and <br />e) Maintain parcel files of original documentation related to the purchase of the real <br />property or property interests. <br />1.1.3 Participate in Project review meetings on a monthly basis and record and distribute the <br />minutes of any of these Project review meetings to the Project team and the City. <br />1.2 TASK 2 —TITLE SERVICES <br />The Consultant will: <br />1.2.1 Perform preliminary title searches and secure preliminary title commitment(s) and five - <br />year sales data from the title company providing title insurance. The costs of any preliminary <br />title commitments will be paid by the City. <br />7 <br />
