<br />I <br /> <br />I <br /> <br />I <br /> <br />L <br /> <br />itemized monthly report of the Chamber's expenditures of Tourism Funds to facilitate review by the <br />Board. <br />D. The Chamber shall obtain the advice and counsel of the Board as to the hiring and firing <br />of management-level Chamber employees responsible for activities under this Contract. The <br />Chamber President has day-to-day management responsibilities for Chamber employees involved in <br />activities under this Contract. <br />E. The Board and the Chamber shall each designate two officers authorized to co-sign <br />checks written on all accounts for Tourism Funds. The signature of at least one official of each <br />organization is required on all checks over $250 in amount written on accounts for Tourism Funds. <br />Checks in the amount of $250 or less written on these accounts require only one official signature. <br />F. The Chamber shall give advance public notice of meetings of the Board, and shall allow <br />members of the public to attend these meetings. The Board is subject to State laws and City <br />ordinances which apply generally to City boards and commissions, including those requiring <br />disclosure of conflicts of interest and abstention from participation in decisions involving conflicts of <br />interest. The Chamber shall provide facilities and staffing for meetings ofthe Board, and shall keep <br />minutes of meetings of the Board. The Chamber shall provide a copy of the minutes of each Board <br />meeting to the City. <br />G. Purchases made with Tourism Funds which exceed $1000 in amount shall be made from <br />the low responsible bidder, and at least three bids shall be obtained for each such purchase. <br />Purchases made with Tourism Funds shall not be restricted to Chamber members. Chamber Board <br />members shall disclose any private interests they have in matters coming before the Chamber Board <br />for decision when action on the matter may have a special economic effect on those interests, and <br />they shall abstain from the discussions and votes on those matters. <br />4. TERM; TERMINATION <br />A. The term ofthis Contract shall be from October 1,2004 through September 30, 2005. It <br />is expressly agreed that either party may cancel this Contract by tendering written notice to the other. <br />Upon expiration of 30 days from the date ofthe written notice or any date specified after thirty 30 <br />days from the date of the notice, this Contract shall be terminated. <br />B. Any funds allocated to the Chamber by the City which are unencumbered or unexpended <br />on the effective date ofthe termination of this Contract shall be remitted to the City on or before the <br /> <br />3 <br />
