ppp HALFF <br />Page 13 <br />contact lists, preparation of utility agreements, reviewing conflicts between the utilities and the <br />Project, resolutions of utility conflicts, creation of a utility conflict list, review of the proposed <br />utility adjustments, and recommending the proposed locations of the utility adjustments. The <br />above list of services is general in nature and should not be considered inclusive to Halff's <br />responsibilities, as listed in the following scope. <br />2.1. Utility Adjustment Coordination. Includes utility coordination meetings with <br />individual utility companies, communication and coordination with utilities, and <br />preparation of utility agreement assemblies. <br />2.1.1. Halff shall perform utility coordination and liaison activities with involved utility <br />owners, their consultants, and the city to achieve timely project notifications, <br />formal coordination meetings, conflict analysis and resolution. <br />2.1.2. Halff shall coordinate all activities with the City to facilitate the orderly progress <br />and timely completion of the utility coordination phase. Halff will be responsible <br />for the following: <br />• Initial Project Meeting. Attend an initial meeting and an on -site inspection <br />(when appropriate) to ensure familiarity with existing conditions, project <br />requirements and prepare a written report of the meeting. <br />• External Communications: Halff will coordinate all activities with the City of <br />San Marcos, contracted design firms, utility providers, or other contractors or <br />representatives, as authorized by the City. Halff will also provide copies of <br />reports, correspondence and other documentation of work - related <br />communications between Halff, utility owners and other outside entities <br />when requested by the City. <br />• Permits and right of entry. Obtain all necessary permits from city, county, <br />municipality, railroad or other jurisdiction (not already obtained by the <br />design engineer) to allow Halff to work within existing streets, roads or <br />private property for additional designating and/or subsurface utility locating. <br />2.1.3. Halff shall determine which utilities will conflict with proposed construction and <br />make the utility company aware of these conflicts. Halff shall assist the utility <br />companies in the preparation of required agreements associated with the funding <br />of adjustments and the occupation of public right of way. <br />2.1.4. Utility Agreements: A packaged agreement consisting of (if applicable) a Utility <br />Completion Checklist, Utility Adjustment Agreement, Utility Joint Use <br />Agreement, Affidavit, Quitclaim, Easement Documents, Field Notes for <br />quitclaim portion of easement, Contractor Statement, Plans, Specifications, and <br />detailed cost estimates (0 reimbursable Utility Agreement Assemblies and 6 <br />non - reimbursable Utility Permits are anticipated for this project). <br />2.1.5. Utility Agreements: If a utility is located within an easement, the utility company <br />may have a compensable interest. The utility company must furnish a copy of <br />their easement to Halff. Halff shall determine whether or not a compensable <br />interest exists and the owner's degree of eligibility. Halff shall assist the utility <br />company with adjustment plans and cost estimate for these adjustments. Halff <br />shall review plans to ensure that the proposed adjustments will not conflict with <br />highway construction. Halff will submit a copy of the easement, plans, and <br />Old RR 12_Design_Option 1 <br />
