ATTACHMENT E <br />Project Approach Plan #1 <br />A. Assessment and Kick Off <br />The Vendor will ensure that Project deliverables are addressed by conducting a thorough <br />assessment that captures all stakeholder information related to the Project. The Vendor will <br />conduct interviews with each stakeholder to identify both existing processes and potential new <br />processes (deliverables) that may result from the implementation of the System. From these <br />interviews, the Vendor will receive a complete current and future understanding of the Project <br />from the City and the Vendor will provide recommendations and solutions. <br />During the collection of requirements process by the Vendor, the Scope statement is reconfirmed <br />with the City. The "Work Breakdown Structure" (WBS) is further defined along with the roles <br />and responsibilities for the Vendor and the City. <br />The assessment process will begin immediately following award of the contract and will produce <br />the WBS document. <br />Sign-off by the Project Owners Warren Zerr and Susie Garcia or their proxy of the WBS <br />document. <br />Vendor may invoice the City for one-half of the compensation amount. <br />B. Setup and Configuration <br />The Vendor will: <br />1) Include streets and locations in the setup and configuration; <br />2) Load all lookup values into the database; <br />3) Lay out the ticket writer interface; <br />4) Lay out the defendant receipts; <br />5) Verify with the City the layout of the defendant's receipt and verify legal <br />terminology; <br />6) Design citation for City use; <br />7) Receive hardware order and install devices; <br />8) Verify City server set-ups; and <br />9) Run package tool for server software and prepare for City install. <br />The average duration for Setup and Configuration is two to three weeks. The two largest risk <br />factors during setup and configuration include hardware availability and Court software vendor <br />responsiveness. <br />Sign-off by the Project Owners Warren Zerr and Susie Garcia or their proxy to go or "no go" <br />from this phase to the next phase. <br />Brazos Technology, Hand Held Ticket Writer System Agreement <br />30
