1.2.24 Conduct meetings with the City and other interested parties twice monthly or as needed to <br />review and update the City on the progress on the Project. The Engineer will prepare meeting <br />agendas for each meeting and distribute meeting minutes within five calendar days of each <br />meeting. <br />1.2.25 Ensure that no reports, maps, or other documents produced in whole or in part under this <br />Agreement will be the subject of an application for copyright by or on behalf of the Engineer. <br />1.2.26 Provide the following deliverables for this Task: <br />a) Two reproducible documents, one in Pdf. format and one in CAD format, and three <br />hard copies of all PS &E documents. All plans will be full size (24" x 36 "). All <br />scalable plans will have a graphic scale -bar on each individual sheet; <br />b) One reproducible document in Word format, one pdf file and three hard copies of the <br />completed final Bid Items and Specifications; <br />c) Provide a final sealed cost estimate to the City in Pdf. and Word or Excel format; <br />d) All design documents, including all master CAD design files, sheet files, calculation <br />files (including hand calculations, spreadsheet calculations, drainage input/output, <br />quantities, etc) and any other documentation related to the project design. The <br />Engineer will supply these documents in electronic format. <br />1.2.27 With direction from the City, facilitate and respond to public input throughout the final <br />design phase. <br />1.3 TASK 3 - BIDDING AND CONSTRUCTION ADMINISTRATION <br />The Construction phase of this Project will commence with the award of the construction <br />contract and will terminate when the City accepts the Project. The Engineer will: <br />Bidding <br />1.3.1 Assist the City in the distribution of the bid documents to prospective bidders and the <br />issuance of addenda (if any) following the City's prior approval. <br />1.3.2 Assist the City in obtaining bids, tabulating bids, preparing bid tabulation forms, and in <br />awarding the contract for construction following the City's approval of the construction contract <br />documents and of the latest detailed final cost estimate of the Project. <br />1.3.3 Assist the City in the issuance of addenda (if any), and in conducting the pre -bid <br />conference with potential bidders. During the pre -bid conference, the Engineer will describe the <br />scope of work, answer pertinent questions of potential bidders and City staff, address requests for <br />additional information and make all necessary clarifications and interpretations of the <br />construction contract documents. <br />1.3.4 Assist the City in reviewing all bids, the Statement of Bidder's Qualifications, financial <br />statements of bidders, lists of bidders' proposed subcontractors, and all other documents required <br />6 <br />
