<br />A. <br /> <br />4. <br /> <br />5. <br /> <br />IV. <br /> <br />PERSONNEL RECORDS <br /> <br />PERSONNEL FILES <br /> <br />The City of San Marcos believes it has a duty to protect <br />its employee's right of privacy and therefore adopts the <br /> <br />following principles: <br /> <br />1. <br /> <br />The City will request and retain only that <br />information which it has a legitimate need to know <br /> <br />2. <br /> <br />for legal or business purposes. <br />The City will protect the confidentiality of all <br /> <br />personal information in its files. <br /> <br />3. <br /> <br />Each employee or his/her designated representative <br />has the right of access to his/her personnel file. <br /> <br />Each employee has the right and responsibility to <br /> <br />correct any inaccurate information such as address, <br />phone number, name changes, change in dependents, <br /> <br />etc. <br /> <br />The City will strictly limit accessibility of <br />personnel files to the employee, the employee's <br /> <br />designated representative, the employee's immediate <br />supervisor, Director of Department, Finance <br /> <br />Department (Director of Finance or designee - <br />material is restricted to financial matters), the <br /> <br />Personnel Department, the City Manager (upon approval <br />of the employee), the City Attorney, and any duly <br /> <br />-19- <br />
