RFA 210 -006 <br />3. Describe the process for processing of checks remotely. <br />Since the WFED service only requires a properly formatted input file to be transmitted to Wells <br />Fargo Bank, the front -end payment processing architecture is flexible. Various check imaging <br />solutions can be integrated by the City or their vendor into their payment receiving and posting <br />systems and operations, including remittance processing or point -of -sale capture. <br />With Wells Fargo's proprietary Smart Decision Service, Wells Fargo will convert any of the City' <br />eligible checks to ACH, Accounts Receivable Check (ARC) or Back Office Conversion (BOC) <br />debits. Simply notify your customers through a posted or mailed notice, and we'll use our <br />industry- leading decision engine to identify eligible items and do the ACH conversion for you <br />automatically. The City will see one deposit credit for all items in their deposit, and have access to <br />integrated deposit detail and returned item reports on the CEO portal. <br />4. Can batches be prepared and forwarded at multiple times during the business <br />day? What is the final cut -off time? Are there any limitations on batch size? <br />Limit on number of transmissions per day? <br />Deposit checks anytime, anywhere. Desktop Deposit® service allows our customers to make <br />deposits from any business location regardless of whether there's a physical bank location in the <br />geographical area. Additionally customers will see an extended deposit deadline for same day <br />ledger credit of 9:00pm CT. Customers are. now free to choose their financial services provider <br />with the set of services that best fit their business rather than based on geography. Processing <br />(sending deposits) can be done upon receipt or as a batch. Deposits are balanced at time of <br />transmission online and deposit reporting is available through the Commercial Electronic Office <br />(CEO) Desktop Deposit report. <br />There is no limitation on number of checks per day but there is a limit of 299 checks in a batch. <br />5. If a check is accepted and subsequently returned by the bank, what obligations <br />does the City have? The bank? How will collection be made? <br />The Desktop Deposit service application will monitor for image quality and duplicative MICR <br />lines within a deposit as the checks are processed. The user will receive an error message if an <br />image is not acceptable or if an item seems to be a duplicate. The Panini scanner sprays <br />"Electronically Deposited" on the back of the check, which is a visual clue to your employee that <br />the check has already been scanned. During the review process, the image is visible to the <br />employee who has the options to re -scan the item or to delete the item from the deposit if they <br />determine the image is not acceptable. We recommend that you place the scanned checks in a <br />tamper evident bag to prevent accidental re- scanning and reduce the risk of fraud. <br />In addition, Wells Fargo has established an Electronic Deposit Center —a team of specially <br />trained professionals to monitor incoming electronic deposit files. This team will: <br />• Validate electronic files <br />• Review large dollar deposited items <br />
