1.0.6 The Consultant will perform all of its services in coordination with the City. The <br />Consultant will advise the City of data and information the Consultant needs to perform its <br />services and the Consultant will meet with City representatives at mutually convenient times to <br />assemble this data and information. <br />1.0.7 Jason Fanelli, Virginia J. Pompa, Patricia Bell Clark, John Barnes, Alex Gale, Dalia <br />Garcia, Courtney Cuba, Michelle Hawkins and Teri J. Morgan are the Consultant's Project <br />Representatives assigned to the Project. The Consultant will not substitute another <br />representative for the Project unless approved in writing by the City in advance of such proposed <br />substitution. In the event the City and the Consultant cannot agree to the substitution of a Project <br />Representative, the City may terminate this agreement in accordance with Article 7. <br />1.1 TASK 1- PROTECT ADMINISTRATION <br />The Consultant will: <br />1.1.1 Communication <br />a) Provide monthly summaries of Project expenses including, amounts authorized by the <br />City, amounts paid by the City and budget forecasting; <br />b) Maintain status reports including contact reports of all Project activities and provide <br />monthly status reports to the City; <br />c) In cooperation with the City revise schedule(s) of all areas of work as required; and <br />d) From the preliminary title research, prepare initial real property owner contact list for <br />use in distributing letters which will introduce the Consultant to real property owners. <br />The contact lists will include all parties having fee title or any interest rights to <br />convey title in the subject property. <br />1.1.2 File Management _ <br />a) Keep the Project and parcel files in the Consultant's office as well as provide files in <br />digital format on a CD to the City. Upon completion of the Project, the Consultant <br />will deliver original files to the City with a CD of the scanned copies of the files. <br />b) Bill the City utilizing the City's standard payment requisition forms with supporting <br />documentation; <br />c) Maintain records of all payments to property owners including check number, <br />amounts paid, and date paid etc., <br />d) Maintain copies of all correspondence and records of contacts with real property <br />owners; and <br />e) Maintain parcel files of original documentation related to the purchase of the real <br />property or property interests. <br />1.1.3 Participate in Project review meetings on a monthly basis. <br />1.2 TASK 2 —TITLE SERVICES <br />The Consultant will: <br />HDR- Victory Gardens Acquisition —North Phase 4/25/11 <br />2 <br />
