MeetinG minutes sha:l be prepared a:ter each Co~~:ssion <br />meetinq and permanent Iv maintained in the Planninq and Development <br />Services Department of the City. MeetinG minutes sha:l be <br />considered draft ~inutes until the COITmission takes formal action <br />to approve the minutes. Meecinc minutes shall be a concise record <br />0: each aqenda item, the action taken on each item, and a listinG <br />of those who spoke reqardinq each items. The minutes shall reflect <br />only a short abstract of the position taken bv each speaker, and <br />shall be neither a verba~i~ transcript nor a lenthv description of <br />the discussion. Meetina minutes sha:l accurate Iv reflect all <br />motions and seconds, alonG with the results of the vote taken on <br />each motion. Where substitute ~otions or motions to reconsider are <br />made, such motions and the voces on those motions shal: also be <br />reflected in the meetinq minu~es. <br /> <br />Section 3. Each Commission TIember shall have an obliqation to <br />check the meetinq minutes for accuracy prior to the meetinq at <br />which the minutes will be considered for approval. If a Commission <br />member has more than three corrections or amendments to make to a <br />qiven set of minutes, the member shall report the corrections, in <br />writinq, to the Recordinq Secretary prior ~o the meetinq. When the <br />approval of minutes is subsequently called UP for discussion, the <br />Recordinq Secretary shal~ announce tha~ written corrections have <br />been received and the CODffiission shall automatically table the <br />minutes to the next meetinq without further discussion. Three or <br />fewed corrections may be offered and voted on at the meetinq where <br />the minutes are beinq considered. Approved minutes shall be s=-qned <br />bv all member who attended that meetinq. <br /> <br />Section 4. COffiDission meetinqs shall be recorded on audiotape. <br />The tapes of CODffiission meetinqs shall be retained for the period <br />of time prescribed bv Sta~e law. The Co~ission Chair shall <br />require that each person co~inq before the Commission identify <br />himself or herself for the record prior to addressinq the <br />Co~nission. <br /> <br />5 <br />
