<br />ORDINANCE NO. 2007 - 30 <br /> <br />AN ORDINANCE OF THE CITY COUNCIL OF THE CITY OF SAN <br />MARCOS, TEXAS AMENDING ARTICLE 6, DIVISIONS 1 AND 2 OF <br />CHAPTER 2 OF THE SAN MARCOS CITY CODE TO REVISE AND <br />UPDATE THE CITY'S PUBLIC RECORD MANAGEMENT POLICIES <br />AND PROCEDURES; INCLUDING PROCEDURAL PROVISIONS; <br />AND DECLARING AN EMERGENCY <br /> <br />RECITALS: <br /> <br />1. Due to the widespread use of computers and electronic storage, the City's <br />record management policies and procedures need to be revised and updated. <br /> <br />2. The updates to the record management policy and procedures include <br />consideration for the management electronically created documents, including e-mail. <br /> <br />3. These updated policies and procedures are in full compliance with the rules <br />and regulations promulgated by the Texas State Library and Archives Commission. <br /> <br />4. The City is in the process of changing over to an electronic storage process; <br />therefore, these changes to the Ordinance are needed so that the City Code will reflect <br />modern practice. <br /> <br />BE IT ORDAINED BY THE CITY COUNCIL OF THE CITY OF SAN MARCOS, <br />TEXAS: <br /> <br />SECTION 1. Chapter 2 of the San Marcos City Code is amended as follows <br />(underlininq indicates added text, strikethrough indicates deleted text): <br /> <br />Sec. 2.483 Microfilming and electronic record retention proqrams. <br /> <br />(a) The city secretar)' clerk is authorized to microphotograph~ Gf microfilm. or scan for <br />electronic record retention all city records in the city secretar)'clerk's custody, including <br />but not limited to ordinances, resolutions, contracts, deeds, conveyances, notices, <br />letters and other records. <br /> <br />(b) Other city departments are specifically authorized to microphotograph~ Gf-microfilm~ <br />or scan for electronic record retention in their respective departments. <br /> <br />Sec. 2-501. Definitions. <br /> <br />In this division: <br /> <br />City records means all documents, papers, letters, books, maps, photographs, sound <br />or video recordings, microfilm, magnetic tape, electronic media, or other information <br />
