<br />recording media. reqardless of phvsical form or characteristic. created or received by <br />the city or any of its officers or employees pursuant to law or in the transaction of public <br />business, whether public access to the records is open or restricted under state law. <br />These shall be created, maintained and disposed of in accordance with this division or <br />procedures authorized by this division and in no other manner. <br /> <br />Sec. 2.504. Designation of records management officer. <br /> <br />The city secretar)' clerk, and successive holders of that office. will serve as the records <br />management officer for the city. Each successive holder of the office shall file his name <br />with the director and librarian of the state library within 30 days of the initial designation <br />or of taking up the office, as applicable. <br /> <br />Sec. 2.505. Records management committee. <br /> <br />A records management committee consisting of the city manager, city attorney, director <br />of finance, city secretary clerk, and the chief of police is established. The committee <br />shall : <br /> <br />Sec. 2.507. Duties of records management officer. <br /> <br />(6) Study the feasibility of and, if appropriate, establish a uniform filing system and a <br />forms design and control system for the city <br /> <br />f7f Provide records management advice and assistance to all city departments by <br />preparation of a manual of procedure and policy and by on-site consultation; <br /> <br />(81) Monitor records retention schedules and administrative rules issued by the Texas <br />sState tLibrarv and aArchives s-Commission to determine if the records management <br />program and the city's records control schedules are in compliance with state <br />regulations; <br /> <br />(9~) Disseminate to the city council and department heads information concerning <br />state laws and administrative rules relating to local government records; <br /> <br />(W~) Instruct records liaison officers and other personnel in policies and procedures <br />of the records management plan and their duties in the records management program; <br /> <br />(441Q) Direct records liaison officers or other personnel in the conduct of records <br />inventories in preparation for the development of records control schedules as required <br />by state law and this division; <br />
