<br />Section 4. Disposition of E-mail Records <br /> <br />Apply the Records Management Plan for disposition of e-mail records as it would be applied <br />to paper records or records stored on other electronic media. E-mail records should be <br />disposed of in accordance with the Records Control Schedules included in Section III of this <br />Plan. <br /> <br />NOTE: Local Schedule GR: Record Series 1000-26, correspondence and internal <br />memoranda, states that routine correspondence and internal memoranda, such as letters of <br />transmittal, requests for publications, internal meeting notices and similar routine matters <br />should only be kept as long as administratively valuable (A V - after purpose of record is no <br />longer deemed administratively valuable). <br /> <br />III. Disaster Recovery Plan for City Records <br /> <br />Section 1. Introduction <br /> <br />This disaster Recovery Plan has been developed to ensure the continuity of the city's <br />government by establishing procedures for records rescue in the event of a disaster. It <br />describes the steps to be followed by the Disaster Recovery Team in ensuring the safety <br />of team members, stabilizing the environment, assessing the damage, recovering <br />damaged records, providing for restoration of those records, and minimizing loss to the <br />City. <br /> <br />The recovery process outlined in this plan focuses mainly on the recovery of water- <br />damaged records. Statistics show that ninety-five percent (95%) of all disasters will result <br />in water-damaged records; action must be taken quickly to salvage damaged <br />materials. Mold will develop within 48 to 72 hours when temperature exceeds 750 Fond <br />relative humidity exceeds sixty percent (60%). Action can be taken by an in-house <br />Disaster Recovery Team to minimize water-damaged loss. Damage caused by heat, <br />smoke, chemical spills, or infestation requires specialized salvage techniques; outside <br />professional assistance is required for recovery from damage of this kind. <br /> <br />Preparedness to cope with damaged records is not enough. No matter how carefully <br />the procedures below are executed, restoration will only be partial. All City <br />departments must take measures to prevent loss of their records. Preventive measures <br />entail creating back-up copies of vital or important information, whether in the form of <br />paper, microfilm, or magnetic media, and storing the copies off site. In case of disaster, <br />a department can retrieve the backups and re-establish operation with minimum <br />interruption. <br /> <br />Section 2. Inventory / Priority Lists <br /> <br />Each department, office, and area should have a list of all materials located therein, <br />showing priority for salvage should a disaster occur. Refer to the City's Records <br />Management Plan for identification of permanent/historical records.
