<br /> :)oF <br /> Sec. 3.05 Retrievin'l:! Stored Records from the Records Center. <br /> (1) Due to the confidentiality of certain records, only record liaison(s) and department <br /> heads may request, receive or accompany the records management officer to retrieve records. <br /> (2) Records may be requested by telephone at least two hours in advance by <br /> contacting the records management office. SpecifY the container number and locator series. This <br /> infonnation may be found in the "List of Containers" * report. (The contents of the entire box will <br /> need to checked out rather than individual files.) <br /> (3) Requested records will need to be picked up from and returned to the records <br /> management office. (The records liaison(s) or department head will need to s~gn in and out for all <br /> records.) <br /> (4) If a department is aware (or as soon as it is known) that it will be necessary to <br /> retain a record for longer than 14 days, the department must notifY the records management <br /> office. <br /> Article 4. Destruction and Alienation of Records <br /> Sec. 4.01 Periodic Reports. <br /> The record management office will periodically prepare a report for each department <br /> listing records eligible for destruction. The department head will be requested to approve within <br /> 30 days the destruction or recommend extending the retention period of the record. Requests for <br /> additional retention are to be submitted to the records management committee for review. <br /> Failure to respond or retrieve the records, will result in the records being destroyed on the <br /> original destruction date. . <br /> . . <br /> Sec. 4.02. Destruction of Records'. (Local Government Code, Chapter 202. S202.00l) <br /> (a) A record may be destroyed if: <br /> (1) the record is listed on a records control schedule accepted for filing by the Texas <br /> S tate Library as provided by Local Government Code, Section 203.041, and either its retention <br /> period has expired, or it has been microfilmed or stored electrorucally in accordance with the <br />, requirements of Chapters 204 and 205 of the I"ocal Government Code; <br />! <br /> (2) a department/division has submitted a Request for Authority to Destroy Records <br /> and Certificate of Destruction Fonn CRM 2 ** and received approval by the Records <br /> Management Committee; <br /> (3) the record appears on a list of obsolete records approved by the Texas State <br /> Library as provided by Local Government Code, Section 203.044; or <br /> (4) a destruction request Fonn SLR 501 ***, is filed with and approved by the Texas <br /> State Library as provided by Local Government Code, Section 203.045 for a record not listed on <br /> an approved control schedule. <br /> * "List of Containers" report for your department, suppl. sect. 3-4. <br /> ** Request for Authority to Destroy Scheduled Records and Certificate of Destruction, <br /> Fonn CRM 2, suppl. sect. 6-3.2 <br /> *** Request for Authority to Destroy Unscheduled Records, Fonn SLR 501, suppl. sect.6- <br /> 19.501 <br /> 5 <br />
