Ch. 204. <br />S203.041(d) and 203.042(c) <br /> Under the direction of the department head, the records liaison(s) should inventory all ! <br />records, regardless of the media or location maintained. This can be accomplished by completing <br />a Records Inventory .and Analysis Form SLR503* for each record series. Upon completion the <br />forms should be turned in to the records management office. The records management office, in <br />cooperation with department heads, will recommend a retention period, based on an examination <br />of the data collected and an appraisal of the value of the records series to the city. After <br />completion of the records appraisal, the records management office submits a ~raft records <br />control schedule for approval by the department head. The approved schedule will be submitted <br />to the records management committee for approval before a final schedule is submitted to the _.0' <br /> J <br />Texas State Library, director and librarian. If the director and librarian accept the records control t <br />schedule or amended schedule for filing, it may be used as the basis for the destruction by the city <br />of records listed on it without additional notice to the director and librarian. <br /> State law also requires that records control schedules previously submitted to the Texas <br />State Library and Archives Commission be reviewed periodically by the records management <br />officer and amendments prepared as needed to reflect new records created or received by the city <br />or changes to retention periods. <br />Sec. 3.04 Preparation and Transfer of Paper Records to Stora1!e. <br /> Inactive records will be moved to and stored in a central location known as the Records <br />Storage Center. <br /> (1) The department is responsible for packaging the records into uniform pr.escribed <br />storage boxes as follows: 1..1 cu.ft., 12"xI5"xl0", for files or 4"x4"x36", 6"x6"x36", and <br />6"x6"x62" for MaplBlueprint storage. Record'boxes should not exceed an approximate weight <br />limit of 40 pounds and can be obtained by. contacting the records management office. <br /> (2) Only one record series should be stored per box; however, if there. is a small <br />quantity of one record series, another record series may be placed in the same box if they have the <br />same retention periods. <br /> (3) The records liaison(s) will need to complete a Storage Transfer LD. Form CRM <br />1 ** for each box and submit it to the records management office. A xerox copy of the LD. form i <br /> .. <br />should be lightly taped to the end of the box to identify con~ents. (Do not write on boxes.) ! <br /> , <br /> (4) The records management office will review and data entry the information ITom <br />the Storage Transfer LD. Form; make permanent box labels; prepare an updated listing of <br />department records stored in the records center; and notify the records liaison(s) of the pickup <br />schedule.
