1.7.6 Establish a system and set of procedures for managing, tracking and storing all relevant I documents between the Contractor, the Engineer and City-produced during the Bid/Award, Construction and Closeout phases of the project. The Engineer will also utilize an appropriate computer based document management system selected by the Engineer and approved by the City. In the event the City requires a specific system, the City will advise the Engineer in advance and will compensate the Engineer for any additional costs incurred. The Engineer will, in coordination with the City maintain hard copy records, suitably organized, of all relevant documentation. All documentation prepared and submitted by the Engineer will be in pdf format. The Engineer will implement procedures for the logging and tracking of all relevant correspondence and documents and will assist the City in monitoring all outstanding decisions, approvals or responses required from the City. 1.7.7 Assist in coordinating City provided testing, inspection and geotechnical services. The Engineer will review the reports and other information prepared by the independent firms and provided to the City. The Engineer will assist in coordinating the schedules of these independent firms involved on the Project and the transmittal of their reports, findings or other information to the Contractor and/or the City. The Engineer will not be responsible for the accuracy or completeness of the work and reports of the independent testing, inspection and geotechnical firms. 1.7.8 Make on-site inspections of the Project at least monthly to ensure familiarity with the progress and quality of the work, to determine if the work is proceeding in acceptable I conformance with the construction contract documents, and to review the work with the City's designated representatives. On the basis of such on-site inspections by the Consultant, the Engineer will keep the City informed of the progress and quality of the work through written status reports and through meetings with the City's representative; and will also be reasonably available to perform site visitations at the specific request of the City by the next business day after a request is made. In addition the Engineer will attend monthly meetings and will prepare minutes documenting these meetings. The Engineer, will with the City's assistance obtain written plans from the Contractor for quality control of its work, and will monitor the Contractor's compliance with its plan. 1.7.9 Provide verbal monthly reports to the City as to the status of the construction project including the Engineer's assessment of various items such as schedule, date of completion, contract price, retain age, pending changes to the contract price or completion date. It is assumed by the Engineer that the City will prepare monthly reports documenting the Project. 1.7.10 In the event that the Contractor notifies the Engineer or the City of subsurface or physical conditions at the site for which the contract for construction requires notification, the Engineer will advise the City and inspect the conditions at the site. The Engineer will advise the City as to the appropriate action(s), and will assist the City in responding to the Contractor. 1.7.11 In the provision of all services, including inspections the Engineer will not have control or charge of and will not be responsible for construction means, methods, techniques, sequences Davis Lane Wastewater Improvements Project - CH2M Hill 10 I
