<br />1.7.6 Establish a system and set of procedures for managing, tracking and storing all relevant I <br />documents between the Contractor, the Engineer and City-produced during the Bid/Award, <br />Construction and Closeout phases of the project. The Engineer will also utilize an appropriate <br />computer based document management system selected by the Engineer and approved by the <br />City. In the event the City requires a specific system, the City will advise the Engineer in <br />advance and will compensate the Engineer for any additional costs incurred. The Engineer will, <br />in coordination with the City maintain hard copy records, suitably organized, of all relevant <br />documentation. All documentation prepared and submitted by the Engineer will be in pdf <br />format. The Engineer will implement procedures for the logging and tracking of all relevant <br />correspondence and documents and will assist the City in monitoring all outstanding decisions, <br />approvals or responses required from the City. <br /> <br />1.7.7 Assist in coordinating City provided testing, inspection and geotechnical services. The <br />Engineer will review the reports and other information prepared by the independent firms and <br />provided to the City. The Engineer will assist in coordinating the schedules of these independent <br />firms involved on the Project and the transmittal of their reports, findings or other information to <br />the Contractor and/or the City. The Engineer will not be responsible for the accuracy or <br />completeness of the work and reports of the independent testing, inspection and geotechnical <br />firms. <br /> <br />1.7.8 Make on-site inspections of the Project at least monthly to ensure familiarity with the <br />progress and quality of the work, to determine if the work is proceeding in acceptable I <br />conformance with the construction contract documents, and to review the work with the City's <br />designated representatives. On the basis of such on-site inspections by the Consultant, the <br />Engineer will keep the City informed of the progress and quality of the work through written <br />status reports and through meetings with the City's representative; and will also be reasonably <br />available to perform site visitations at the specific request of the City by the next business day <br />after a request is made. In addition the Engineer will attend monthly meetings and will prepare <br />minutes documenting these meetings. The Engineer, will with the City's assistance obtain <br />written plans from the Contractor for quality control of its work, and will monitor the <br />Contractor's compliance with its plan. <br /> <br />1.7.9 Provide verbal monthly reports to the City as to the status of the construction project <br />including the Engineer's assessment of various items such as schedule, date of completion, <br />contract price, retain age, pending changes to the contract price or completion date. It is assumed <br />by the Engineer that the City will prepare monthly reports documenting the Project. <br /> <br />1.7.10 In the event that the Contractor notifies the Engineer or the City of subsurface or physical <br />conditions at the site for which the contract for construction requires notification, the Engineer <br />will advise the City and inspect the conditions at the site. The Engineer will advise the City as to <br />the appropriate action(s), and will assist the City in responding to the Contractor. <br /> <br />1.7.11 In the provision of all services, including inspections the Engineer will not have control <br />or charge of and will not be responsible for construction means, methods, techniques, sequences <br />Davis Lane Wastewater Improvements Project - CH2M Hill <br /> <br />10 <br /> <br />I <br />
