City Project Roles and Responsibilities <br />This section presents the anticipated roles and responsibilities for the key staff positions for the project. <br />The joint team of the City and Tyler will ultimately be responsible for designing, developing and <br />delivering the final products of this project. <br />The City defines its resources as follows: <br />,3 Project Sponsor: <br />The Project Sponsors provides support to the project by allocating resources, providing strategic <br />direction, communicating key issues about the project and the project's overall importance to the <br />organization; and when called upon acting as the final authorities on all project decisions. Project <br />sponsors will be involved in the project as needed to provide necessary support, oversight, and guidance, <br />but will not participate in day -to -day activities. The project sponsors will empower the steering <br />committee to make critical business decisions for the City. <br />Resource Title Expected Commitment <br />City Manager As Needed <br />Executive Support <br />The Executive Team will be made up of director level staff from the City of Sample. The Executive <br />Team will understand and support the cultural change necessary for the project and foster throughout the <br />organization an appreciation of the value of an integrated ERP system. The Executive Team oversees the <br />project team and the project as a whole. Through participation in regular meetings the Executive Team <br />will remain updated on all project progress, project decisions, and achievement of project milestones. <br />The Executive Team will also provide support to the project team by communicating the importance of <br />the project to each member's department along with other department directors in City. The Executive <br />Team is responsible for ensuring that the project has appropriate resources, providing strategic direction <br />to the project team, and is responsible for making timely decisions on critical project or policy issues. <br />The Executive Team also serves as primary level of issue resolution for the project. <br />The Executive Team will meet on a regularly scheduled basis for approximately one hour every two <br />weeks. The meeting schedule, time and location will be set as a recurring meeting. Additional meetings <br />may be scheduled as necessary. Similarly, meetings may be cancelled. The Project Manager will be <br />responsible for distributing an agenda prior to each scheduled meeting. Meeting notes will be taken and <br />then approved at the following regularly scheduled meeting. <br />The City Executive Team Members are part of the escalation process for all issues not resolved at the <br />Project Manager and/or Senior Project Manager levels. The Executive Team has active project <br />participation on a limited basis, primarily participating in Executive Team Meetings and the project <br />review that occurs as part of the meetings. <br />Executive Team Members will be responsible for: <br />• Attend all scheduled Executive Team meetings <br />• Provide support for the project <br />• Assist with communicating key project messages throughout the organization <br />CITY OF SAN MARCOS, TX PAGE 6 OF 62 <br />ERP PROJECT- FINAL SOW <br />
