Tools of the site will include, but are not limited to: Documents & Links; <br />Announcements; Calendar; Project Task List; Issues & Action Items; Project Plan; Modifications& <br />Enhancements; Versioning; Alerts. <br />.1.16.1 SharePoint Backups <br />Tyler performs a daily routine backup for all Client SharePoint sites using industry standard backup <br />techniques and processes. Site - specific backup files can be provided as a billable service with a minimum <br />of 4 hours charged for each backup file using the contracted Tyler rate for implementation services. Tyler <br />does not provide SharePoint consulting services to restore provided backup files in client- hosted <br />environment. <br />7 Project Plan <br />Tyler will create and maintain a baseline Project Work Plan throughout the project life cycle that <br />represents the project's scope of work and responsibilities as defined in this SOW and those dependent <br />work efforts that affect the project's schedule or budget. The initial project plan is established with the <br />City's approval of this SOW as the approved budget, schedule, and scope of the project. The Tyler Project <br />Manager will present the working project plan to the Project Team at the kickoff or a subsequent project <br />meeting. The project team will ask for modifications or will accept the Tyler project plan. Once the <br />project plan is approved by the project team, the project baseline will be set by the Tyler Project Manager. <br />The baseline Project Work Plan will contain: <br />• Project's activities with tasks <br />• Specific resources assigned to project tasks <br />• Detailed Project schedule / Work Break Down Structure (WBS) featuring phases, deliverables, and <br />work packages <br />All project tasks will be assigned owners and due dates which correspond with the overall project <br />schedule. Project Tasks that are not completed by the due date may adversely affect the project schedule <br />and live dates. <br />Decisions will be made in a timely fashion in order to achieve scheduled due dates on tasks and prepare <br />for subsequent training sessions. Decisions left unmade may affect the project schedule as each analysis <br />and implementation session builds on the decisions made in prior sessions <br />Project Status Reports <br />Tyler will develop a Communications Management Plan, at the onset of the project that will define the <br />frequency and recipients for the project status reports. Project reports are intended for the Project <br />Manager and the City Executive Team and provide the following key elements: <br />■ Project Status <br />• Summary of accomplishments <br />• Status of key milestones deliverables <br />• Project timeline <br />• Issues /Risks <br />• Planned risk mitigation strategy <br />• Progress towards City project goals / criteria of project success <br />CITY OF SAN MARCOS, TX PAGE 15 OF 62 <br />ERP PROJECT- FINAL SOW <br />
