and conducting the meetings, as well as for recording the minutes and analyzing the <br />results. <br />d) City Council Meeting - Present the conceptual plans and budget to the City Council for <br />its review and public comment prior to finalization of design. <br />e) Meet with the City's representative periodically to update the City on the progress of <br />the work. <br />1. 1.4 Prepare meeting minutes for each meeting the Engineer attends, or is present at via <br />conference call and submit to the City within forty -eight (48) hours after each meeting. <br />1.1.5 Develop and update the Project schedule, monitor and adjust deadlines and milestones and <br />coordinate regularly with the City representative regarding progress. <br />1. 1.6 Prepare and submit monthly progress reports to the City with each invoice submitted. The <br />progress reports will include a summary of progress of work tasks, key decisions that require input <br />from or discussion with City staff, and a list of problems or unresolved issues. The Engineer will <br />record all issues on a Project "issues list" identifying the issue, the date it was a known issue, the <br />person responsible for the solution, and the date the solution is required. Progress reports will be <br />given during the monthly project progress meetings. <br />1. 1.7 Coordinate all activities with TxDOT. <br />1.1.8 Develop and update the Project schedule, monitor and adjust deadlines and milestones and <br />coordinate regularly with the City representative regarding progress. <br />1.2 TASK 2 - PRELIMINARY DESIGN AND DEVELOPMENT <br />The Engineer will: <br />1.2.1 Develop 30% preliminary designs for the Project for the City's review and approval. <br />1.2.2 Travel to San Marcos to attend a meeting in order to review preliminary plans with <br />appropriate City staff. In addition, the Engineer will clearly label all plans as preliminary designs <br />only. <br />1.2.3 Prepare and provide presentation boards, which will be used at the meetings to inform the <br />community of the design and the City's future plan. The Engineer will provide presentation boards <br />that include full color perspective drawings of the Project area that are clearly labeled to indicate <br />that they are conceptual designs only. <br />1.2.4 Coordinate with TxDOT representatives to assure 30% design plans and specifications <br />conform to TxDOT standards. <br />REP Agreement for Cross -Town Pathway Project 9/1/2015 <br />3 <br />
