Bid Phase <br /> A. Attend Pre-Bid Meeting:Assist the OWNER in conducting pre-bid meeting and developing the <br /> agenda. <br /> B. Answer Questions: Coordinate with the OWNER for issuing responses to technical questions and <br /> requests for additional information.The ENGINEER will issue addenda to Purchasing,as necessary <br /> and provide conformed plans per changes made during this process,if any. <br /> C. Issue Addenda to Purchasing: The ENGINEER shall issue addenda as appropriate to clarify,correct,or <br /> change the bidding documents. <br /> D. Bid Tabulation and Recommendation of Award:Assist the OWNER in opening of bids,review all bids <br /> and evaluate them for responsiveness and bid amount.The ENGINEER will also check references,by <br /> telephone,of the low bidder and second low bidder,and will prepare a letter summarizing the review <br /> and evaluation and include recommendations for award of the contract for construction,or other action <br /> as may be appropriate.The OWNER shall make the final decision on the award of the contract for <br /> construction and the acceptance or rejection of all bids. <br /> E. Conformed Plans: The ENGINEER will incorporate addenda items in the Construction Plans and issue <br /> a"Conformed"set of plans for construction. <br /> i. Bid Form:Provide the Bid Form in Word Document format. <br /> ii. Technical Specifications: Provide one(1)PDF electronic copy of the Technical <br /> Specifications. <br /> iii. Conformed Plans: Provide one(1)PDF electronic copy of Construction Plans,one(1)CAD <br /> copy,two(2)hardcopies of 22"x34"plan sets,and four(4)hardcopies 11"x17'plan sets <br /> IV. Construction Phase <br /> A. Project Meetings:The ENGINEER will attend nine(9)monthly construction meetings with the City, <br /> Contractor,and other parties as appropriate. <br /> B. Attend Pre-Construction Conference:The ENGINEER will attend a pre-construction conference for <br /> the project with the City,Contractor,and other parties as appropriate. <br /> C. Submittal Review:The ENGINEER will review and approve shop drawing submittals. <br /> D. Respond to Requests for Information/Modifications <br /> E. Construction Observation:The ENGINEER will perform site visits to check the progress of the work <br /> and verify general conformance with the project plans and technical specifications on an as-needed <br /> basis. <br /> Page 3 of 4 <br />
