this Task. The Engineer will prepare meeting agendas for each meeting and will compile and <br />distribute meeting minutes within five business days of each meeting. <br />1.2.10 Be responsible for the printing and binding of 10 sets of bid documents (not including <br />construction drawings) at no additional cost to the City. A total of three sets of final plans will <br />be provided; one set will be full-size drawings and two sets will be half-size drawings. The <br />Engineer will provide digital copies of the construction drawings in Pdf format. <br />1.2.11 Ensure that no reports, maps, or other documents produced in whole or in part under this <br />Agreement will be the subject of an application for copyright by or on behalf of the Engineer. <br />1.2.12 Obtain approval from City Inspectors of all technical plans and specifications necessary <br />for successful completion of the Project prior to allowing the construction contract to be let for <br />bid. <br />1.2.13 Provide the following deliverables for this Task: <br />a) Final plans in Pdf format and three hard copies of all final plans. One plan set will be <br />D size, 22-inch by 34-inch format and two sets will be half size. All scalable plans <br />will have a graphic scale-bar on each individual sheet; <br />b) Bid Items and Specifications in Word format, one document in Pdf format and two <br />hard copies; <br />c) Ten sets of bid documents not including construction drawings in GBC binding; and <br />d) A final cost estimate to the City in Pdf and Word or Excel format. <br />1.3 TASK 3 - BIDDING AND CONSTRUCTION ADMINISTRATION <br />The Construction phase of this Project will commence with the award of the construction <br />contract and will terminate when the Project is accepted by the City. The Engineer will: <br />Bidding <br />1.3.1 Assist the City in the advertising for bids and the issuance of addenda (if any) following <br />City's prior approval. <br />1.3.2 Assist the City in the issuance of addenda (if any), and in conducting the pre-bid <br />conference with potential bidders. During the pre-bid conference, the Engineer will describe the <br />scope of work, answer pertinent questions of potential bidders and City staff, address requests for <br />additional information and make all necessary clarifications and interpretations of the <br />construction contract documents. <br />1.3.3 Assist the City in obtaining bids, tabulating bids, preparing bid tabulation forms, and in <br />awarding the contract for construction following the City's approval of the construction contract <br />documents and of the latest detailed final cost estimate of the Project. <br />F' ? - e :-0akrdige Booster Pump rojet t <br />5
