1.8.4 Include tabular listings of the pipe segments televised during this operation as well as any <br />defects noted during the operation in the draft report identified in Task 13. <br />1.9 TASK 9 — PUBLIC RELATIONS <br />The Consultant will: <br />1.9.1 After the City's approval, provide information to the general public in order to minimize <br />resident questions and complaints. <br />1.9.2 Develop a notification system for field tasks including, but not limited to: <br />a) Door hangers for smoke testing; <br />b) Prepare for and attend a maximum of four community meetings with concerned <br />citizens regarding the Project; <br />c) Develop public relations letters and other documents as required by the City; <br />d) Integrate the City's public relations philosophy into the overall public sector <br />communications program; and <br />e) Develop an external and internal project web site. <br />1.9.3 Distribute door hangers for smoke testing 24 hours prior to smoke testing in a particular <br />area. The Consultant will ensure that all field personnel will be identifiable as working for the <br />Consultant or one of its subconsultants, and will carry a statement from the City indicating that <br />the work is being performed for the City. <br />1.9.4 Provide materials (slides, presentation boards, etc.) for community meetings as required <br />and other public relations materials as required. The Consultant will develop and host a Project <br />Web Site. The City will approve all content prior to posting. <br />1.10 TASK 10 — PROJECT MANAGEMENT AND ADMINISTRATION <br />The Consultant will: <br />1.10.1 Assemble a Project team comprised of the City's representatives and the Engineer's <br />representatives. The Engineer will meet with the Project team to set the production schedule and <br />parameters for all subsequent work, to verify the components within which all Project <br />participants must perform, and to identify all parties and significant deadlines involved in the <br />comprehensive schedule strategy. Based on this information, the Engineer will prepare a <br />detailed schedule of its work for the Project addressing each component of the work it will <br />perform, indicating the points of involvement of all Project participants. <br />1. 10.2 Assist the City in connection with the City's responsibility for filing documents required <br />for the approval of governmental authorities having jurisdiction over the Project. <br />Burgess and Niple, Inc.
