<br />1.7.5 Provide a copy of the appraisal report for the subject property exclusively to the property <br />owner or authorized representative(s) at the time of the offer. Maintain original signed Receipt <br />of Appraisal form for billing purposes. <br /> <br />1.7.6 Make a minimum of four (4) contacts per parcel/per property owner or designated <br />representative.. <br /> <br />1.7.7 Respond to property owner inquiries verbally and in writing within two business days of <br />the request. <br /> <br />1.7.8 Prepare a separate negotiator contact report for each parcel per contact on TxDOT form <br />D-15-94. <br /> <br />1.7.9 Keep and maintain parcel files of original documentation related to the purchase of the <br />real property or property interests. <br /> <br />1.7.10 Advise all property owners of the administrative settlement process. Transmit to the City <br />any written counter offer from property owners including supporting documentation, and <br />Consultant recommendation with regard to administrative settlements in accordance with <br />TxDOT policy and procedures. <br /> <br />1.7.11 Prepare a final offer letter for presentation during the fourth contact with each property <br />owner or the owners designated representatives. <br /> <br />1.7.12 Appear and provide expert witness testimony when requested by the City. <br /> <br />1.7.13 Issue the property owner's survey to the property owner during the initial contact.. <br /> <br />1.8 TASK 7 - CLOSING SERVICES <br /> <br />The Consultant will: <br /> <br />1.8.1 Coordinate with the City and the title company to obtain an updated title commitment <br />along with other forms and certified copies of the instruments of conveyance necessary when <br />requesting the parcel payments from the City. <br /> <br />1.8.2 Attend closings and provide closing services in conjunction with title company. <br /> <br />1.8.3 Ensure that the title company records all original instruments immediately after closing at <br />the respective Hays County Clerk's Office, including donations. <br /> <br />1.8.4 Ensure that the title company issues a title insurance policy to the City, and provide <br />original title insurance policy to the City's Legal Department. <br /> <br />5 <br />
