e) e- Notification of bid opportunities, addendums, and answers to questions <br />f) Q &A management; and <br />g) Multi- agency support. <br />In addition, the system will automatically enforce procurement best practices to save staff <br />time, secure better pricing, and reduce vendor challenges. With this system the City will <br />also receive: <br />j) One year of included phone and email support services with free updates to the <br />system based upon the Vendor's Standard Implementation of Website set -up and <br />configuration with no alterations to the included source code. After the first year of <br />included phone and email support, Vendor may provide further maintenance for the <br />e- Procurement system as an additional service. <br />k) One day of website set -up and configuration to ensure compatibility with the e- <br />Procurement System <br />1) Data import from any pre- existing lists or systems, including vendor profiles and <br />commodity information (one time service). The City is responsible for providing this <br />information in Excel format. This is a one -time service. <br />m) Up to four hours of training via WebEx (remote) conference <br />n) A user guide with details of the system <br />o) Two hours of customization of the e- Procurement System to show the awarded firm's <br />name on the Expired Bids screen, rather than having to click to see which firm was <br />awarded. Please note that the City of San Marcos has chosen to have the Vendor host <br />the e- Procurement System. <br />20. Feedback Form <br />Include a feedback form component in order to enable the City to receive feedback from <br />the community. City staff will be able to provide the information that users request most <br />often. The feedback form component will allow residents to submit comments on <br />individual pages which will be automatically sent to a member of the City's staff. A <br />designated staff member will receive this feedback with information directing them to a <br />specific page on the City's Website in order to determine what information is most useful <br />to the community. <br />21. Form/Survev Tool <br />Provide an interactive forms tool to allow users to communicate and interact with the <br />City at convenient times. The Vendor's form/survey Tool may be used for asking <br />questions, getting feedback, or submitting applications. These online forms may be used <br />for replicating many paper forms the City uses, including service requests. The <br />form/survey tool also provides the City with the ability to easily create online surveys and <br />track the results in real -time.
