IMPLEMENTATION CONFERENCE: The City will hold an implementation <br />conference on Wednesday, June 29, 2011 at the Technology Services Department, <br />Municipal Building — 1St Floor, 630 E Hopkins Street, San Marcos, Texas to coordinate <br />installation requirements and schedules, and determine if contingency plans are <br />necessary, and discuss all aspects of the Project. The successful proponent's <br />representatives at this meeting will include the operations manager, project manager, <br />primary technician, and the authorized representative who prepared and submitted the <br />proposal. The successful Proponent will take written minutes during the implementation <br />conference and will distribute the record of the meeting to all attendees. <br />H. IMPLEMENTATION PLAN /SCHEDULE: <br />1. Implementation Plan: Proponents will submit, with their proposals, written <br />implementation plans outlining the steps preceding the installation and activation <br />of services; including any required equipment and /or cable (See Section 6.E.). <br />2. Implementation Schedule: Proponents will submit proposed implementation <br />schedules, with their proposals, showing required tasks for all major milestones <br />of the Project. Milestones will include, but not be limited to, implementation <br />conference, delivery dates, completion of cabling, operational dates, test dates <br />and final approval dates. The final schedule will be finalized during the <br />implementation conference (See Section 6.E.). <br />I. COMMENCEMENT OF WORK: Prior to commencing work, the successful <br />Proponent will notify the City that work has begun onsite, and the successful <br />Proponent's technician will not leave the site without informing the City of the status of <br />the job, the reason for leaving, and expected time of return. <br />J. ACCEPTANCE OF PROJECT: The acceptance period is defined as the ten (10) <br />business days from the date of installation and activation of the Project wherein the City <br />will determine whether the Project has been satisfactorily completed and is suitable for <br />acceptance by the City. The City will evaluate the Project prior to acceptance based on <br />the following: <br />1. Acceptance of the Project is contingent upon overall compliance with the <br />requirements of this RFP, as well as the quality of installation and condition of <br />5 <br />
