PRE-PROPOSAL CONFERENCE: A pre-proposal conference is scheduled for all <br />prospective proponents on January 3, 2006 at 10:00 a.m. at the City Hall Council <br />Chambers. While this pre-proposal conference is not mandatory, it is in the proponent!s' <br />best interest to attend since it is the only time the proponent will be allowed to review the <br />switch room layout prior to proposal due date. Proponents will make their attendance a <br />matter of record by completing a sign-in roster identifying the prospective proponent, name, <br />and title of their attending representative. <br /> <br />1. Purpose: The purpose of the pre-proposal conference is to: <br /> <br />a. Survey site of existing switch rooms. Proponent's engineers or cable <br />installation teams will be allowed to measure and assess for accurate <br />calculations. Failure to visit the site(s) or facilities will not relieve proponents <br />from the necessity of furnishing any materials, equipment, or services <br />required by the RFP. <br /> <br />b. Insure proponents have a clear understanding of the City's needs. <br /> <br />c. Insure the accuracy of the RFP. <br /> <br />d. Identify any problems which might prevent obtaining the proper services at a <br />fair and reasonable price, or any issues that inhibit a fair and accurate <br />solicitation or restrict competition. <br /> <br />2. Questions: Proponents having questions concerning the RFP must submit them in <br />writing to the Purchasing Manager at the address shown on page 1 of this RFP. <br />Questions must be received not later than five (5) days prior to the date set for the <br />pre-proposal conference so that appropriate information may be researched and <br />made available during the pre-proposal conference to all concerned. <br /> <br />3. Addendums: Any changes resulting from the pre-proposal conference affecting the <br />specifications or the scope of work, or which may require an extension to the <br />proposal acceptance date will be reduced to writing in the form of an addendum to <br />this solicitation.
