J-t:; f f!, <br />1.1.8 Auctioneer, in coordination with the City's representative, the County's <br />representative and the County Auditor's office, will prepare an inventory list of everything <br />to be sold by recording the make, model, year, vehicle identification number, description, <br />city fixed asset (tracking) number and county fixed asset (tracking) number. The <br />Auctioneer will separate lot assignments between the City and County and show <br />separation in all reports. <br />1.1.9 Auctioneer will mark all items to be sold with lot numbers and will attach a "Buyer's <br />Guide" stating that each item is sold on an "as-is where-is" basis and that there will be no <br />warranties either express or implied, nor a warranty of merchantability of fitness for any <br />particular purpose. <br />1.1.10 Auctioneer will input all auction inventory into its computer. <br />1.1.11 One day prior to the Auction, the Auctioneer will conduct a viewing of the inventory <br />to be sold. <br />1.1.12 The day prior to the sale, the Auctioneer will walk the entire auction with the City <br />and County representatives to go over the sale and discuss any final instructions. <br />1.1.13 Auctioneer will require that bidders pay with certified negotiable funds and that all <br />checks be accompanied by a Bank Letter of Guarantee. Auctioneer will also accept cash <br />and cashier's checks. .¡ <br />1.1.14 Auctioneer will complete an IRS form 8300 for the City and for the County and will <br />file both forms with the Internal Revenue Service. <br />1.1.15 On the day of each auction, the Auctioneer will: <br /> (a) arrive with personnel at the auction site at 7:30 a.m. to prepare for the <br /> auction to run in an orderly fashion; <br /> (b) provide pre-numbered two-part bidder registration cards which include <br /> all terms and conditions and registration information including <br /> warranty disclaimers referenced in subsection 1.1.9. The top copy will <br /> be retained for City's or County's and Auctioneer's use and the <br /> second copy is bidder's and for identification purposes; <br /> (c) begin registering bidders at 8:00 a.m. and continue registering bidders <br /> throughout the entire auction; <br /> (d) require each prospective bidder to present a valid driver's license, <br /> provide information such as full name, address, date of birth, title <br /> information, phone number, bank and bank officer, tax exempt <br /> number (if applicable) for inclusion on bidder registration cards; <br /> 3 <br />
