<br /> ~OJ <br /> Sec. 5.05. Destruction Of Orh,dnal Records. (Local Government Code. Ch. 204; S204.007) <br /> (a) Except as provided by Local Government Code, Chapter 204, Section 204.008, <br /> the original of a record that has been microfilmed pursuant to Local Government Code, Chapter <br /> 204 and rules adopted under it may be destroyed before the expiration of its retention period on a <br /> records retention schedule issued by the state. <br /> (b) A list of the originals of microfilmed records destroyed shall be filed with the <br /> records management officer. <br />- (c) The microfilm record must be retained until the expiration of the retention period <br /> for the original record. <br /> Sec. 5.06. Destruction of Permanent Records. (Local Government Code. Ch. 204. <br /> S204.008) <br /> (a) The original of a permanent record may not be destroyed until a destruction <br /> authorization request is submitted to the Texas State Library certifying that the microfilm of the <br /> record meets the standards of this chapter and rules. <br /> (b) Requests shall be submitted to the records management office. <br /> (c) If the State approves the request, the original record may be destroyed. <br /> (d) In lieu of destruction, the Texas State Library may require that the original record <br /> be transferred to the custody of the Archives Commission. <br /> (e) If the State disapproves the request, the reasons for the disapproval shall be stated <br /> in writing within a reasonable time to the records management office. The original records may <br /> not be destroyed until th.e microfilm of the records is brought in~o compliance with this chapter <br /> and the rules adopted under it as evidenced by the submission of a new destruction authorization <br /> request. <br /> Sec. 5.07. Stora1!e of Microfilm. <br /> The "master negative", of essential, short-term, medium to long-term or permanent <br /> records, should be stored off site within the security of the Records Center separate trom the <br /> duplicate or working copies. Diazo film or microfilm not meeting the specifications in American <br /> National Standard for Imaging Media (Film)--'Silver-Gelatin Type--Specifications for Stability <br /> (ANSIIT9.1-1989 or latest revision), must not be stored in the same room as the silver masters. <br /> Reports, tracking methods, and retrieval will be handled in the same manner as paper records. <br /> 9 <br />
